Canon Business Process Services, Inc. ("CBPS," "we," "our," or "us"), a member of the Canon family of companies, is committed to protecting your privacy. This Privacy Statement applies to all Services offered, owned, or operated by CBPS that link to this policy. By using our Services, you acknowledge and agree to the terms herein, including the collection, use, and disclosure of your information as described.

2. Data Collection

We collect information you provide directly and data collected automatically through your interactions with our Services. Information is categorized as follows:

2.1 Identifiers & Personal Information

This includes your name, postal address, email address, phone number, user IDs, and passwords. For purchases or repairs, we collect financial information such as credit/debit card numbers and billing details.

2.2 Professional & Employment Data

For job applicants, we collect educational background, employment experience, and job interests.

2.3 Usage & Technical Data

We automatically collect network and device data, including IP addresses, browser types, device metadata, and geolocation information. This also includes tracking and cookie data, such as unique client IDs and engagement interaction telemetry.

Personal Information

You may choose to give us personal information online to allow us to communicate with you, process your orders, or provide you with Services. Our online forms ask for a small amount of relevant information, such as name, company name, email address, postal address, and telephone number. Some forms may ask for a product serial number. If you make a purchase or order a repair, we may ask for your credit card number and billing information. Individuals who apply for jobs offered by CBPS or a Canon affiliate may be requested to provide information that includes, but is not limited to, educational background, employment experience, and job interest.

The types of personal information CBPS may collect from you may include:
• Personal and business contact information, such as name, postal address, phone number, and email address;
• Your contact information, including email or shipping address, which you may provide to us when you email a link to our Services or when you share our newsletter;
• Financial information, such as your credit/debit card number or other billing information;
• Other unique information such as user IDs and passwords, product functionality, product, and service preferences, contact preferences, educational and employment background, and job interest data;
• Geolocation data such as your Internet Protocol (IP) address, physical location, and other similar location information collected when you interact with the Services or request location based services;
• Details of the products and services you have purchased from us or which you have inquired about, together with any additional information necessary to deliver those products and services and to respond to your inquiries;
• Any additional information relating to you that you provide to us directly through our websites or applications or indirectly through use of our websites, applications, or online presence, through our representatives or otherwise; and
• Information you provide to us through our service center, customer surveys or visits by our representatives from time to time.

Specific Data Categories Collected

Network & Device Data: IP address, Reverse IP address, device IDs, browser/device specifications, device metadata, corporate/firmographic identifiers, and company domain.
Tracking & Cookie Data: First/third-party cookies, Unique Client ID (cookies), Munchkin cookie IDs, remarketing cookie IDs, and Google Click ID (gclid).
Engagement & Interaction Data: Email interaction data, browsing activity (including web browsing behavior prior to form fill and general browsing history), page interaction telemetry, page engagement, pageviews, session duration, and referral paths.
Web & Technical Logs: Web server logs and domain query parameters.
Communication & Interaction Records: Chorus call recordings, caller phone numbers, call length/timestamps, and conversion actions.
Marketing & Conversion Data: Conversion tokens, ad interaction events, Pseudonymous LinkedIn Member ID, landing page/UTM parameters, and lead contact fields (form inputs/email link clicks).

Usage Information

In addition to the information you may provide, CBPS may collect information when you access or use the Services or a website “powered by” another company on behalf of CBPS through our use of data collection technologies, including web beacons, Cookies (as defined in the following paragraph), and embedded web links. These technologies collect certain traffic information that your browser sends to a website, such as your browser type and language, browser history, access times, and the address of the website from which you arrived. They may also collect information about your IP address, unique device identifier, geolocation information, clickstream behavior (e.g., the pages you view, the links you click, and other actions you take in connection with CBPS websites or “powered by” websites) and product information. CBPS may also use some of these technologies in connection with emails and communications sent from CBPS and therefore may collect information using these tools when you open the email or click on a link contained in the email.

3.1 Primary Purposes for Processing

We use your data to provide and improve Services, respond to requests, process transactions, manage accounts, and deliver personalized content and advertising. We also process data to ensure compliance with legal obligations and our Terms of Use.

3.2 Information Sharing

We share information under the following conditions:

Affiliates: With the Canon family of companies (e.g., Canon U.S.A., Canon Inc.) for business operations and marketing.
Service Providers: With third-party suppliers who support our business, such as IT hosting, payment processing, and customer support.
Legal & Regulatory: In response to subpoenas, court orders, or to protect the rights and safety of CBPS and its users.

4.1 Your Privacy Choices

4.2 Global Privacy Control (GPC)

CBPS recognizes and honors browser-based Global Privacy Control (GPC) signals. If your browser transmits a GPC signal, we will treat it as a valid request to opt-out of the sharing of your personal information for interest-based advertising purposes.

CBPS adheres to global privacy standards, including the EU GDPR, the Philippine Data Privacy Act (RA 10173), and various US state laws (e.g., CCPA/CPRA, VCDPA, CPA). Data may be transferred to and stored in the United States, Japan, and other countries with different privacy laws. We ensure such transfers comply with applicable regulatory requirements.
