When an organization outsources business processes in order to gain significant benefits, it is essential to establish the new relationship on a sound foundation. When we begin a transition, our goal is that every person in our client’s organization will notice a positive difference from day one.

Canon Business Process Services (CBPS) has successfully implemented comprehensive transition plans, backed by industry best practices, for more than 1,000 client installations. Our unparalleled experience is part of what makes the CBPS approach work.

This plan contains five core elements:

1. Discovery and documentation take place so that our transition team achieves a deep understanding of our client’s current state, expectations and deliverables. We develop and document process flows for the services to be provided and define the resources required.

2. Approach and methodology deploy tools and processes that enable us to implement change in a complex, outsourced environment. We utilize tested processes, tools and reporting components — all delivered by a dedicated transition team.

3. A resources and project team assumes control of our client’s current environment — typically for 30–60 days, including people, tools and technologies. CBPS operation employees, managers, directors and executives at every level are involved. This is a collaborative effort to identify major tasks, milestones, transition team members and responsibilities.

4. The communications strategy and plan outline how the individuals and teams will interact, with defined frequency, objectives and resources available. A comprehensive library of proven tools can be customized for our client’s environment.

5. Human resources expertise is engaged during early solution development, to ensure that all employee requirements are considered. An HR representative is a member of the implementation team, facilitating interviews, training, career development opportunities and performance recognition.

Once on-site, we continue to monitor and improve business processes and make proactive suggestions. Our objective is to increase productivity and ensure our client’s success.
